Challenge

BelSECT had been using a website and members area we built for more than ten years. The foundations had served their purpose, but the organisation had changed: mobile use felt clunky, the design was dated, and key processes were spread across the website, external tools and manual follow-up.

Solution

We renewed the public website and developed the platform behind it: membership application approvals, online memberships, a sponsor area, an integrated symposium site, and payment and ticketing workflows for members, non-members and sponsors.

Result

BelSECT once again has one digital home built to last for years. Volunteers can keep track of its activities more easily, sponsors manage their own information, and members get a more professional experience for memberships, events and symposium registration.

The brief

Some clients return because their first project has worked well for a long time.

Our first BelSECT project began in late 2013. That website and members area remained in use for more than ten years. For a professional association run largely by volunteers, that says a lot.

By then, though, it was time for a thorough update. The site looked dated, worked less well on mobile devices and was too rigid to adapt easily. The association’s digital activities had also grown beyond the original scope.

Membership had become more than an administrative formality. Sponsors needed greater visibility and easier follow-up. Every year, the symposium required registrations, payments, tickets and attendance records.

For a small organisation run by volunteers, these digital hurdles add up. Each task may be manageable on its own, but together they take a lot of time.

The real question was: could we build a website and platform that would last for years, offer members a better experience, and remain manageable for the people keeping the association running?

Building on what already worked

We already knew BelSECT, so we did not have to start from scratch.

We knew which parts of the old setup had proved their worth and which had reached their limits. That helped us focus on what was needed: a new look and feel, a clearer public website and, above all, stronger processes behind the scenes.

The project went beyond a redesign. Each visual change was tied to processes that make a practical difference to how the association works.

A clear public website for an association with many audiences

The public website needed to make BelSECT clear to its different audiences.

That included members and people who did not yet know the association: trainee perfusionists, hospitals, sponsors and symposium visitors. We reworked the site structure around clear sections such as about, education, events, sponsors and contact.

An association like this has a lot to cover: board information, committees, training, vacancies, news, events, links, sponsor pages and a symposium section that sometimes becomes almost a mini-site in its own right.

Developing the membership platform

The biggest improvement was in the platform behind the login.

New members first apply for access. Only after approval can they purchase their membership. They then gain access to their dashboard, account and membership details.

Reminder emails and a clear renewal process support annual renewals. Membership is subject to eligibility, and following up expired memberships should not depend on someone remembering to send an email.

Sponsors, symposium and payments in one workflow

BelSECT wanted to give sponsors greater visibility and involve them more closely in managing their presence.

We built a separate sponsor area where companies manage their own profiles, add contact and address details, upload logos and other assets, and submit news for their sponsor pages.

We also integrated the symposium more closely into the website. Members, non-members and sponsors follow different routes. Sponsors use coupon codes and receive a limited number of free tickets; participants can register and pay online. QR tickets, attendance records and certificates follow afterwards.

All of this had to remain manageable for volunteers: people running the association alongside their regular jobs, without a large internal digital team.

Result

BelSECT once again has a digital environment that fits the way the association works.

A website ready for the years ahead

The public website looks more current, works better on mobile and explains the organisation more clearly to members, students, sponsors and visitors.

A connected membership process

Applications, approvals, online purchases and annual renewals are more closely connected and need less separate follow-up.

Less manual follow-up

Volunteers spend less time switching between separate tools, emails and manual checks for memberships, payments and registrations.

A dedicated sponsor area

Sponsors manage their own information, assets and news, with permissions that keep each sponsor’s data separate.

A more integrated symposium

Registration, payments, coupon rules, QR tickets, attendance and certificates form a more integrated event workflow.

A more professional experience

Members, sponsors and visitors get a clearer journey, while the work behind the scenes remains manageable.

What happened next

The work continued after the main website launched.

We kept adding and refining features for sponsors, symposium tickets, emails, accessibility and content. That is part of working on this kind of platform. Associations keep changing. Sponsors change, events evolve and new volunteers take over tasks.

The digital environment needs to adapt with them, without having to start again.

That is what this case is about: a digital foundation that makes the coming years easier to manage.
