Associations & federations
Members, events, documents and figures are rarely in one system. You notice it every week.
Excel, mailboxes, an outdated package and a separate website: sound familiar? We start from what you already have.
What is a member platform?
A member platform is software for associations that does more than a website with a login: a member portal where membership administration, content, events, documents, payments and reporting come together. If the existing CRM works well, we integrate the platform with it. Zenjoy builds such member portals from Leuven for federations, cooperatives, professional associations and networks in Flanders, tailored to how they work.
Networks that own their data again
The website is disconnected from the member database, events live in another tool and someone matches the bank transfers by hand.
Membership fees, status, who gets to see what: all manual, until something goes wrong.
One person knows how the member data fits together. The system itself doesn’t.
Current members, regions and events: the export happens on Sunday evening.
Eighty percent fits in the package. For the last twenty percent, the workarounds pile up until the CRM gets in the way of the real work.
The bigger the network, the more that fragmentation costs: duplicate work, outdated data and slow follow-up.
Not everything needs to be custom-built
| Excel + website | Off-the-shelf package | Custom / hybrid platform | |
|---|---|---|---|
| Suits | Simple membership operations, little manual work and few exceptions | Classic membership management, few exceptions (Stamhoofd, Twizzit, CRM) | Networks, federations and cooperatives with events, data and content |
| Risk | Dependent on one person, error-prone, little reporting | The last twenty percent needs workarounds | Starting too big |
| Zenjoy | Honestly: not yet | Integrate or complement | Build, start small, then Care |
- Member portal: profiles, permissions, documents and personalised content
- Processes for federations: forms, events, conferences and dashboards
- Community: contributions, moderation and knowledge sharing, but only if members will actually use it
- A mobile app if members or volunteers use the platform on the go
- AI for mailboxes, data processing and first drafts of reports, always with human review before anything goes out to a member
Replacing a CRM is not a goal in itself. Often the missing layer is the real work. Web platforms · Care
Three networks, three scales
European network, 2,000+ organisations
A map and management environment for around 3,000 locations across thirty partner structures. The data is not always complete and members don’t fit one organisational model. The platform keeps that manageable, without falling back on a map with pins and a spreadsheet next to it.
From association website to member and symposium platform
Volunteers follow up on operations, sponsors manage their own details and members handle their membership and event registration in one place that will last for years.
A cooperative that became a digital operation
This is not a classic membership CRM: it is about cooperative members, contracts, payments and integrations. The website is the front door; the digital product supports the operations behind it.

Member Platform Health Check
Fixed scope: tools, data, processes, dependency on one person and reporting. You get a clear roadmap, not a pitch for yet another new CRM.
Questions we often get
Not necessarily. Integrating is often the smarter option. We look at what works well and where the gaps are.
Yes, if it simplifies a process and the integration is feasible. We don’t bring everything together in one big system on principle.
Not necessarily. Custom software can make sense when specific processes cause a lot of manual work or errors. We weigh that against an off-the-shelf package or an integration and, where needed, start with one process. Member count alone doesn’t decide it.
Yes, if use on the go, push notifications or working on location matter. Otherwise a good mobile-friendly web platform is cheaper. Mobile apps
Then the management environment above all has to be simple to use. At BelSECT and RREUSE, people without an IT department manage the platform. We design for them.
